When you launch EasyPlan for the first time, the application initializes its high-performance local database engine (SQLite WASM + OPFS). If the Full Premium Edition has not yet been activated on your browser, the Login & Activation screen is displayed.

The "Company & Currency Settings" screen is the foundation of your system. Everything you configure here is automatically printed in the official header of every Sales and Purchase Invoice, across all inventory and accounting reports, on the single-page Dashboard PDF, and embedded inside exported Excel, CSV, and JSON files.

• Enable "Withholding Tax" checkbox by default on new invoices: Pre-checks the WHT toggle on the POS screen, while allowing you to uncheck it on any individual invoice.

• Automatically apply these default rates to every new invoice: When checked, every new invoice starts pre-filled with your saved tax percentages. When unchecked, new invoices start at 0% taxes and you can load your saved rates anytime by clicking "↺ Saved Rates" inside the POS screen.

Chapter 3 — Inventory Control

Item Catalog, Barcodes, Units of Measure & Expiration Dates

From the "📦 Items & Barcodes" tab, you can catalog all your products, monitor stock on hand, and manage cost and selling prices. To register a new product, click the blue "+ Add New Item" button (or click "+ Add Barcode Item" on the KPI Dashboard).

🧭 The Golden Rule of Account Balance Nature: "Debit (Owes Us)" vs. "Credit (Owed to Them)"

1. "Debit (Owes Us)" Balance Receivable Asset

Means this amount is owed to your company by this partner. This is the default nature for Customers purchasing on credit. (If you pay an advance to a vendor before receiving goods, that vendor also carries a Debit balance!).

2. "Credit (Owed to Them)" Balance Payable Liability

Means this amount is a liability owed by your company to this partner. This is the default nature for Vendors / Suppliers when you buy goods on credit. (If a customer overpays or makes an advance deposit, that customer carries a Credit balance!).

Part 1: How to Add a New Customer or Vendor Account ("+ Add Customer / Vendor" Button)

Part 2: Recording Customer Receipts & Vendor Payments ("💵 Receipt / Payment Voucher" Button)

Next to every customer or vendor in the table is a green "💵 Receipt / Payment Voucher" button. Clicking it opens a context-aware modal: for a Customer, it records a "Customer Receipt Voucher" (reducing their receivable balance and adding an inflow to the Treasury); for a Vendor, it records a "Vendor Payment Voucher" (reducing your payable balance and recording an outflow from the Treasury).

How Voucher Fields Adapt Dynamically Based on "Payment Method":

A) "Cash" or "Other":

Simply enter the Voucher Amount *, Voucher Date, and Description. The entry is immediately posted to the Treasury as Cleared / Executed and updates Actual Cash on Hand right away.

B) "Bank Transfer":

Automatically reveals two additional fields: Transfer Reference No. and Bank Name, and posts the transaction to the Treasury as Cleared / Executed.

C) "Check" or "Promissory Note":

Reveals 3 instrument fields: Check / Note No., Issuing Bank, and Maturity / Due Date. The partner's balance is updated immediately, while the paper enters the Treasury as Under Collection under "Pending Commercial Paper" until you click "✅ Clear" on its clearance date!

Stage 1: Invoice Type & Header Details

• Select Invoice Type: Toggle at the top-right between "Sales Invoice (Outgoing)" and "Purchase Invoice (Incoming)".
• Select Customer / Vendor *: The dropdown automatically filters to show Customers for Sales or Vendors for Purchases, displaying each partner's current balance next to their name. To add a new partner on the fly without leaving the invoice, click the "+" button next to the selector!

• Method 2 (Smart Search by Name or Code): Type any part of the item name or code in "Search Item by Name or Code", navigate with ↑ ↓ and press Enter. Focus jumps automatically to Qty; adjust quantity, unit price, or optional production/expiry dates, then click "Insert".
• Smart Stock Guard: On Sales Invoices, the system prevents selling a quantity greater than Available Stock on hand and alerts you immediately.

Stage 3: How Taxes & Special Discounts Are Calculated (% Percentage or Fixed Amount)

Each of the three tax fields (Withholding Tax (WHT), Sales Tax, Value Added Tax (VAT)) and the Special Invoice Discount field includes a mode selector allowing you to switch between a percentage (%) or a fixed monetary value (Amount):
